MY ROLE AS BID MANAGER

 

Keeping in mind the definition of a bid, ‘an approach to a client in order to gain significant new or repeat business’, I will be in charge to deliver the bid and in doing so I will have to manage multiple resources and deal with complex business relationships in supporting the delivery of a strong, winning, sales case to the client.

If not yet defined, a collaborative tool centred on a shared repository is to be set up in order to manage all response documents progress and exchange (sales, project management, quality, legal, technical, financial, human resources, implementation, delivery, support and training).

MY ROLE AS P.M.O.

 

As a Project Management Officer, I will assist to define and maintain standards for project management during specifications, delivery, approval, deployment and training phases. I will thus strive to standardize and introduce economies of repetition in the execution of projects, rise alarms for consolidating progress dashboards, and be the source of documentation, guidance and metrics on the practice of project management and execution.

I propose to my customers assistance and advice for their projects management and optimization. Project management business is appealing to specific skills, thus I accompany my customers at every level of a process project maturity with a main objective: move towards shorter and cheaper projects.

Project managers are often in charge to elaborate the specifications documents bound to a project. These documents are generally declined in the form of main and detailed specifications.

The main topics described in the main specifications draft include:

• whole solution design,

• business specific constraints documentation,

• business processes definition and operation interfaces (high level), based on  technical processes described in the tender,

• user cases.

The main topics described in the detailed specifications draft include:

• writing of the formal specifications,

• business processes definition and operation interfaces (low level),

• interfaces definition with the respective third party systems,

• data logical model definition and system constraints,

• data models integration, formats, configuration and constraints,

• data management integration,

• criteria and test procedures finalization.

ASSISTANCE TO PROJECT MANAGEMENT

 

I can assist specs contributors (often the project managers) in simplifying and speeding up the way they get their specifications documents ready.

Among the solutions speeding up the technical wording, the interview is the one that has proven its worth. Based on existing specs schematics and/or drawings, here are the steps:

- I use or build a specification document template, integrating a basic table of contents.

- I start a workshop session with the specs contributors, defining with them the subjects ordering. The aim is to build a detailed table of contents.

- Respecting the content previously defined, I begin to interview the specs contributor(s) and do a set of audio or video records of the session.

- The contributor(s) comment(s) orally all schematics and/or drawings. The specs content ordering is not to be respected here.

- Using the template, I transcript and write down the audio interviews, respecting the specs content ordering, and integrate all relevant drawings and/or schematics with zoom and/or cropping work.

- The resulting document is delivered to the contributor(s) for finalization.

MACRO BASED OFFICE ENGINEERING

PRINCIPLE

 

Among the many tasks surrounding projects, some require a large batch of documents to be published in a relative short time frame, and sometimes on a regular basis. By the use of a set of office tools (e.g. Microsoft Word, Excel, ...) and VBA (Visual Basic for Applications) coded procedures, there are easy ways to automate heavy publishing requirements.

If you are interested with this service, feel free to contact me with any special demand. I will use existing procedures or write new code to fulfill your requirement.
